Car fleet management system overview
A fleet management system is a tool that helps business or government organizations keep track of their fleet of vehicles. It is a system that helps to optimize the use of the vehicles, improve communication and coordination between drivers and fleet managers, and ultimately improve the efficiency and productivity of the organization.
There are many different types of fleet management systems available on the market, and the features and functionality of each system vary depending on the needs of the organization. However, all fleet management systems share some common features, such as GPS tracking, vehicle diagnostics, and driver management.
GPS tracking is a core feature of all fleet management systems. This feature allows organizations to track the location of their vehicles in real-time, which is useful for a variety of purposes. For example, GPS tracking can be used to monitor the routes that drivers take, to ensure that they are staying on track and not taking any detours. GPS tracking can also be used to monitor the speed of drivers, to ensure that they are obeying the speed limit.
Vehicle diagnostics is another common feature of fleet management systems. This feature allows organizations to monitor the health of their vehicles and to identify any potential problems. For example, vehicle diagnostics can be used to monitor the engine oil level, tire pressure, and fuel level.
Driver management is another common feature of fleet management systems. This feature allows organizations to track the performance of their drivers and to identify any potential problems. Driver management systems typically include features such as driver log books, driver performance reports, and driver safety reports.

Turo car fleet management with Carsync.io
All you need to do to get started with Carsync is to sign up at https://carsync.io and then connect your Turo account with Carsync.
Go to Settings and click on Connect - then enter your Turo account information (email and password) and you are good to go. Carsync gathers all the data from Turo and syncs it both ways.
The Carsync dashboard displays your rental revenue, the reservations in the current month in a graph and underneath is a list of all your active and upcoming reservations. You see the renter, the pickup location, the time and the payout. This way it is easy to see what what the next tasks are, which cars you need to prepare when and where the delivery and pickup location is.
Next to the dashboard is the inbox. Here you have the messages, where you can write to your guests and see their Turo messages and you can quickly get a detailed view of the booking, including all the trip photos when you click on the icon with the three dots on the top right corner of the message view. Under the messages you can see the automation schedule, if you have set up any automated messages, more on that later under “Message templates”.
Also in the inbox menu, you can find the reservation receipts and reimbursements.
Cars menu
In the Cars menu you see an overview of all your listed cars. You can edit the listing of every car here or view the calendar which gives you a graphical overview of the bookings per month. You can check the reservations on the calendar view or add blocks, days when you don’t want to list you car on Turo.
If you have a Tesla or one of the supported car trackers installed (Zubie, Bouncie, Goldstar Advantage, Viper, FleetLocate) you can see on a map where you cars are. The last item on the cars menu is the fleet calendar, one of the most useful tools from Carsync.
In the fleet calendar you see all of you cars listed on a timeline, so you see side-by-side when which cars go out and when they come back. In this overview it is very easy to spot when all your cars are on the road and how many deliveries or pickups are on any given day.
Analytics menu
The Analytics menu has two items: Turo demand index and the car metrics.
Turo demand index: Here you check how high the demand for cars is in your area over the next couple of weeks. It also shows you the price per day distribution, the top 20 car makes, model and production year.
Car metrics: This shows you the details of all of your cars, on how many days they where rented, the lifetime rental revenue, the revenue rate per month and many more indicators to give you a better understanding on how your cars are performing.
Settings menu
In the Settings menu you can connect different sharing platforms under “Platforms & Email”.
Carsync supports Turo, Getaround, HyreCar, HQ Rental Software, Shair. If you have your cars listed on multiple platforms you can connect them and Carsync will sync all the data so you can see all your bookings in one place.
Message templates
One of the best features of Carsync are the “Message templates” in the settings menu. Here you can create templates for messages that you want to send out to you guests automatically.
For example; if you want that your guests receive a confirmation one minute after they booked one of your cars, you can create a template which creates a personalized email and sends it automatically as soon a the booking is confirmed.
The templates have a number of variables you can use to adjust the emails to your needs. You can pick a greeting for the renter (by name or firstname) you can include the reservation pickup location, the vehicle make, model, year, license plate, fuel type, lockbox code or lockbox location and of course all the details about the reservation that needs to be customized like start date/time, end date/time, distance included, excess distance travelled, total distance travelled and overage fee per mile.
You can also adjust the conditions that need to be met for the message, like the location (eg home location pickup, delivery, airport delivery) the cars or for repeat/new renters, the guest protection level, even the trip duration or only on certain Turo extras. Then you can set the condition for the schedule from seconds to days before or after a reservation is booked, requested, starts, end at the halfway point or the Three-fourth point, publish the template and you are set to automate most of you standard messages.
With these options you can create a set of templates that automates most of your messages to your guests, which can be very time consuming.
We highly recommend to setup at least two message templates for you guest, one that immediately confirms the booking (you don’t wont do write a confirmation message in the middle of the night) and a template for the return day.
Keep in mind, even with automated messages in place, you will still have to read and write a lot of messages to/from your guest since there are a lot of cases you can not cover with a message template - weither it is special requests or questions that come up - but you can at least make sure that your customers get an immediate feedback no matter the hour of the day and you don’t have to stay up all night and worry you miss a booking.
